Humanica respects the privacy of visitors to our website and users of our application. This Privacy Policy applies to Humanica Group, including Humanica Public Company Limited ("Humanica") in Thailand, and explains what Personal Data we collect, how we use, disclose, store, protect, and retain it, and how you may exercise your rights. Information We Collect

The Company collects Personal Data when you voluntarily provide it or when you use our website or application, including name, username, email, address, phone number, location, photographs, gender, marital status, nationality, cookies, employer, and other information necessary to provide our services.

This information may be used to operate our services, communicate with you, process billing, and improve our services, and may be shared with authorized resellers or service providers for these purposes. We do not sell, rent, or trade your Personal Data to third parties.

Where your employer enables face verification for time-and-attendance purposes, the App collects and stores facial photographs as described under "Face Verification and Facial Photographs" below.

We also collect technical and usage data, including IP address, for security, technical analysis, and service improvement, and may disclose Personal Data where required by applicable law or legal process.

Face Verification and Facial Photographs

Face verification is not enabled by default and only applies where your employer has configured it.

Face Verification. When enabled, you register a reference photograph of your face, which is securely stored in the cloud environment applicable to your employer. When you clock in or clock out using face verification, a new photograph is captured and submitted for comparison against your stored reference photograph. The comparison is performed by an approved third-party cloud-based facial verification service, which returns a verification result.

The third-party service processes the photographs only as necessary to perform the facial comparison and does not retain a separate copy of the submitted photographs after the verification process is completed. The service provider is contractually restricted from using the photographs for advertising, marketing, tracking, profiling, sale, or any other independent purpose and is contractually obligated to provide the same or an equivalent level of protection as set out in this Privacy Policy.

Humanica does not create or store biometric templates, faceprints, or facial geometry maps as part of this process.

Attendance Photographs. If verification succeeds, the photograph captured for the clock-in or clock-out transaction is stored in your employer's cloud environment as part of your time-and-attendance record and serves as evidence of the attendance transaction.

The reference photograph and attendance photographs are used solely for identity verification and time-and-attendance purposes. They are not used for advertising, marketing, user tracking, cross-app tracking, profiling, data mining, or sale to third parties.

Storage. The reference photograph and attendance photographs are stored within the cloud environment applicable to your employer's contracted Workplaze environment. The specific cloud service provider and data-hosting location may vary depending on the employer's service configuration and contractual requirements.

Humanica applies appropriate security measures to protect stored photographs, including encrypted transmission, access controls, and restriction of access to authorized personnel and applicable service providers.

Retention and Deletion. The reference photograph and attendance photographs are retained while you remain an active employee and for a further 24 months following the end of your employment.

If you withdraw your consent, Humanica will cease further processing based on that consent and delete the applicable stored photographs even if the normal retention period has not yet expired, unless retention is required by applicable law. Where retention is legally required, the applicable photographs will be deleted when that requirement expires.

Third-Party Websites

Our website and application may link to third-party sites that we do not control. Such sites are governed by their own privacy policies.

Cookies

Cookies allow us to identify visitors and authenticate access to parts of our website. You may reject cookies through your browser settings, although doing so may limit access to certain sections.

Opting Out

To stop receiving communications from us, contact us using the details below. We do not respond to automated "Do Not Track" signals.

Advertising

We do not display third-party advertising.

Facial photographs collected through the App's face-based time-and-attendance functionality are not used for advertising, marketing, tracking, profiling, data mining, or any advertising-related purpose.

We implement appropriate administrative, technical, and physical measures to protect Personal Data against loss, unauthorized access, use, modification, disclosure, or destruction.

These measures include access controls, defined permission levels, restriction of access to authorized personnel, safeguards against unauthorized disclosure, and traceable logging of access, modification, and deletion of Personal Data.

Additional security measures applicable to facial photographs, including encrypted transmission and access restrictions, are described under "Face Verification and Facial Photographs" above.

Retention Period

We retain Personal Data only for as long as necessary for the purposes described in this Privacy Policy or as required by applicable law.

Where our relationship with you ends, Personal Data may be retained for the period required by applicable law, public authorities, or for the establishment, exercise, or defense of legal claims. After the applicable retention period expires, the Personal Data will be erased, destroyed, or anonymized.

Children's Privacy

This application is not directed to children under the age of 13. We do not knowingly collect Personal Data from children under 13.
